Introduction

This privacy statement explains how personal information is collected, used and disclosed by the Archbishop Abbots Exhibition Foundation (AAEF).

This policy applies to visitors or users of the website or approaches made directly to the foundation by individuals or institutions on behalf of individuals. We need to know your basic personal data in order to assess your eligibility for a grant that you have applied for and to provide organisational updates and funding information in line with the objections of the foundation. We will not collect any personal data from you that we do not need in order to provide and oversee this service to you. Our lawful basis of processing your personal information is on the basis of your consent for us to deal with your data to process your application.

What we do with your data

All personal data is processed by the data controller who is the clerk to the foundation. However, for the purposes of IT hosting and maintenance this information is located on servers outside the United Kingdom. No third parties have access to your personal data unless the law allows them to do so.

We have a data protection regime in place to oversee the effective and secure processing of your personal data.

How long we keep your data

We will keep your data and your data will be retained for a minimum period of three years unless otherwise agreed with you, after which time it will be destroyed. Your information that we process to conduct the services we provide will be retained for at least 6 months after the course to which the grant has been applied has been completed. We do not use your information for marketing purposes.

You have the right to withdraw your consent at any time.

If, at any point you believe the information we process on you is incorrect you can request a series of information and have it corrected or deleted. Cookies are small bits of computer code and stored on your hard drive, so that the AAEF recognises you when you next visit. They help our website to work well and determine what web content is popular and how people are using our site, known as analytic cookies. We take appropriate measures to ensure that the information disclosed to us is kept secure, accurate and up to date and kept only for as long as it is necessary for the purposes for which it is used. Where your data is no longer required we will ensure that it is disposed of securely.

WHAT TO EXPECT

The Trustees consider all applications at meetings which take place three times a year in January, May and September.

Applications need to be with the Clerk by the end of the month preceeding the meeting. It is possible that applications could be considered as emergencies between these times.
